The truth is, when business owners create their own separate systems instead of using the same tools and processes as their team, it creates a ripple effect that can seriously impact efficiency and growth.

Why Business Owners Resist Using Team Systems

Let's be honest about why this happens. As leaders, we face unique challenges that make it tempting to work around established processes:

  • Time constraints are real. You're wearing multiple hats, and slowing down to follow the "official" process can feel like a luxury you can't afford. When you're in crisis mode, it's easier to revert to whatever gets the job done fastest—even if it's not the standard way.

  • Accountability gets tricky. You hold your team accountable for following processes, but who holds you accountable? It's uncomfortable to admit, but most business owners don't have someone checking whether they're following their own rules.

  • The downstream impact isn't obvious. Because you're deeply invested in the business, you know things will get done regardless of how you do them. It's easy to convince yourself that your shortcuts don't really hurt anyone. But they do—and we'll show you how.

The Hidden Costs of Owner Workarounds

When you create separate systems that eventually need to connect with your team's workflow, you're unknowingly creating several problems:

This works until your assistant is out sick, or they forget to update the shared calendar, or automated reminder emails don't get sent because the appointment wasn't created through the system.

  • Exception overload: You make customer service exceptions (which can be great for client relationships!), but each exception creates extra manual work because your processes weren't built to handle them. Your team now spends time getting approvals, sending manual emails, and working around the system instead of with it.

Simple Solutions That Actually Work

  • Design processes with yourself in mind. Before rolling out any new system, test it yourself. If it doesn't work for your workflow, it probably won't work long-term for anyone.

  • Get your team to help you learn. Ask key team members to walk you through the official process and hold you accountable for using it. Most teams are thrilled when leadership asks for their help with this, because it shows you’re invested in the process and trust them as the subject matter experts.

  • Schedule time to practice. Block out time to learn new software or practice new processes, especially if technology isn't your strong suit. Treat it like any other important business investment.
